If you are an IT administrator, use the administrator guide instead of this article.
VDI End User Onboarding Guide
Your organization has set up a secure virtual desktop for you. This is a dedicated virtual computer that you access from your existing device. Everything you work on stays inside the virtual machine, so nothing sensitive touches your physical computer.
This guide walks you through how to get started. Your IT administrator has already been set up and can help if you run into any issues.
Step 1 Claim Your Okta Account
Open the Okta invitation email
Click the activation link
Set your password
Set up Okta Verify on your phone for MFA
Sign in and confirm you land on the My Apps dashboard
Confirm the Workspaces tile is visible
Your virtual machine is provisioned after account activation and usually takes about one hour, so it may not be available immediately.
Step 2 Launch Your Workspace
From Okta My Apps, click the Workspaces tile
Click Open Amazon WorkSpaces app
If needed, download and install the AWS WorkSpaces desktop client
Open the client and continue signing in
Launch your virtual desktop
Important: The browser-based web client is not supported. You must use the AWS WorkSpaces desktop application.
Inside your virtual desktop you will find PreVeil, Microsoft apps such as Word and PowerPoint, and browsers including Edge and Chrome.
Step 3 Set Up PreVeil
New to PreVeil
Your PreVeil administrator will invite you to join the organization. Open that invitation email from inside your Workspace, not from your physical device, and click Create PreVeil Account.
Compliance reminder: Claiming the PreVeil invitation on your physical device defeats the purpose of the VDI and may create a compliance issue.
Existing PreVeil user
To move your existing account to the VDI:
On the virtual desktop, go to
127.0.0.1:4003/get-startedSelect Add Account then Copy from Device
Enter your PreVeil email address
On your existing device, open PreVeil and choose Settings then Add Device
Enter the code shown on the VDI screen and click Transfer Private Key
The transfer code expires quickly. If it expires, click Retry to generate a new one.
Day-to-Day Reminders
Always do CUI-related work inside your Workspace
If an application is blocked, contact your IT administrator
Do not attempt to install software or work around controls yourself
If your Okta account is inactive for 90 days, it will be automatically deactivated
If you are unsure whether a task should happen inside or outside the Workspace, default to inside and ask your IT administrator
