Microsoft Outlook Add-in 3.0.12

Send more encrypted emails in Outlook using the Outlook add-in. The Outlook add-in is software that embeds to Outlook and allows emails to be sent encrypted by user control and automation. Read more ahead.

 

 

Installation Instructions

  1. Before installing the PreVeil Outlook Add-in, make sure that Outlook is closed.

  2. Download the Auto-Encrypt Add-in by going to preveil.com/download and double-click to run the installer.
    Note: the download link is set for PC users

  3. Click on the ‘Next’ button on PreVeilNewOutlookAddin Setup

  4. Click on Install to install the add-in to your Programs folder

  5. The next time Outlook is opened banners will appear across mail messages. Mail encrypted by PreVeil (in your PreVeil mailbox) will show the Message Encrypted while others will show message not encrypted.
    When drafting a new email message, when encryption mode is turned on the message will be encrypted and sent over PreVeil. When the encryption mode is off it is not sent using PreVeil’s encryption or service. The encryption mode is toggled by a control in the composition window.



  6. When composing a message directly from your encrypted account in Outlook, the same banner will appear across the top of your email (fig. e). The message will now be sent encrypted through PreVeil.
    If you add the address of a non-PreVeil member, the bar will return to the gray bar. To ensure the individual gets invited to join PreVeil and is able to read the encrypted message, simply click the “Turn On Encryption” button on the upper left. (fig. f)

Keyword auto-encryption

When editing an email from a PreVeil account, and a CUI keyword is input to the subject line, the encryption mode will automatically turn on. To apply auto-encryption via a keyword:

  • Keywords must be entered in the subject line of an email entirely in upper case.

  • There must be a word boundary for each keyword. For instance, if they keyword is “CUI”, a space between any other words in the subject field is required; the following sequences will not cause a switch to encrypted mode:

    • HelloCUI out there

    • Hello CUIout there

    • HelloCUIout there

  • After entering a keyword into the subject line of an email, you must tab out of the subject field for the auto-encrypt to initiate.

What are the key words?

The key words are the following.

  1. CUI

  2. ITAR

  3. CONFIDENTIAL

  4. ENCRYPT

  5. SENSITIVE

  6. FOUO

  7. SECURE

  8. FCI

Editing the key words

The behavior of the keyword encryption is set up by the keyword file (outlook-keywords-settings.json), which is installed once and is never updated. A default keyword configuration file is installed on the system if a previous file does not exist. The location of that file is “C:\ProgramData\Preveil\PreVeilNewOutlookAddin.”

Note: This file will not be visible if the correct options are not set in the File Explorer options. Make sure the options are properly set as denoted in the following picture.

About the Keyword File

The keyword file is a JSON file that contains a list of keywords (example follows). Please note that when editing the JSON file, case sensitivity is not required: additional keywords can be added in upper or lower case, or a mix of both. However, when entering keywords into the subject line of an email, they must be entered entirely in upper case to trigger the auto-encryption.

 

After making changes and saving, restart the desktop Outlook application.

Keyword Encryption Disable

The keyword auto-encrypt will be disabled if the edited email switches to encrypted and then the user clicks the encryption button to return to an unencrypted mode. When that sequence happens, auto-encrypt is disabled for that specific email. If you open up another email, keyword encryption is enabled again.
